Taking a Message for Someone
Answering the phone for a friend or colleague who is unavailable and accurately taking a message to relay to them later, much like the friends do for each other in 'Friends'.
Situations
Choose from 5 conversations to practice
Initial Call Reception & Identification
You answer the phone for an unavailable colleague/friend, identify yourself, and politely inform the caller that the person they wish to speak with is not available.
Offering to Take a Message
After informing the caller of the person's unavailability, you proactively offer to take a message on their behalf, asking if there's anything you can help with or convey.
Gathering Key Information
The caller provides the message, and you actively listen and note down essential details such as the caller's name, contact number, the purpose of the call, and any urgent actions required.
Clarifying & Confirming Details
You repeat back the message to the caller to ensure accuracy, asking clarifying questions if anything is unclear or to confirm specific details like spellings or numbers.
Concluding the Call & Relaying Plans
You politely thank the caller, assure them the message will be delivered, and indicate when the person they called will likely receive it or be able to return the call.
